This policy explains what personal information Swarapaana collects when you use swarapaana.in, book a ticket or get in touch, why we collect it, and what you can ask us to do with it. It is written to meet the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000.
1. What we collect
When you book a ticket:
- Your name and mobile number, and your email address if you choose to give it.
- The names of the people each ticket is for, if you enter them.
- Your answers to any questions the event asks at checkout.
- What you booked, the amount, any discount code used, and the payment reference and status from Razorpay.
- At the event, when and by which volunteer your ticket was scanned.
When you send an enquiry: your name, phone number, email if given, city and the details of your event.
What we do not collect: we never receive your card, UPI or bank details, which go straight to Razorpay. The public site uses no advertising or tracking cookies and no analytics.
2. Why we use it
- To create your booking and deliver your ticket.
- To check you in at the gate.
- To contact you about the event you booked, including changes, postponements and cancellations.
- To process refunds and handle payment problems.
- To answer your enquiries.
- To tell you about future Swarapaana events. You can ask us to stop at any time.
- To keep the accounts and records Indian law requires.
We do not sell or rent your personal information to anyone.
3. Who we share it with
Only with the services that run the booking system, and only what each needs:
- Razorpay processes payments.
- Supabase hosts the booking database.
- Vercel hosts the website.
- Resend sends ticket emails, if you gave an email address.
- WhatsApp carries messages, when you choose to message us there.
- Google provides the fonts on the site and the venue maps on event pages.
Some of these services store data on servers outside India. We may also disclose information when the law requires it.
4. How long we keep it
We keep booking and payment records for as long as Indian tax and accounting law requires. We keep enquiries for up to two years. After that, the information is deleted or made anonymous.
5. Storage in your browser
The public site sets no cookies. The organisers' admin area stores a sign-in session in the browser of the person signed in. Nothing is stored in your browser when you book.
6. Your rights
You may ask us to:
- tell you what personal information we hold about you,
- correct or complete it,
- delete it, unless the law requires us to keep it, and
- stop using it for messages about future events.
Write to us at swarapaana@gmail.com from the email or phone number you booked with. We reply within 30 days.
7. Children
Bookings should be made by an adult. If you are under 18, ask a parent or guardian to book for you.
8. Security
Information is sent over encrypted connections. Only the organisers and the volunteers working the gate can see bookings, each signed in with their own account. No system is perfectly secure, but we take reasonable steps to protect your information.
9. Changes to this policy
We may update this policy. The date at the top of this page shows when it last changed.
10. Grievance officer and contact
For any question or complaint about your personal information, contact our grievance officer, Sagar Simha.
